1. General Information

AVIA clinic is a private general practitioner (GP) service offering medical consultations both in-person and remotely (via telephone or video call).

All consultations are provided by qualified, licensed medical professionals.

These Terms and Conditions govern your access to and use of our medical services.

Please note we are NOT an emergency service. 999 must be called in medical emergencies.

We have a ZERO tolerance approach to discrimination. Any abuse will not be tolerated.

2. Appointments and Consultations

2.1 Booking

Consultations can be booked via our website, phone, or in-person at our clinic.

You must provide accurate and complete information when booking.

We reserve the right to refuse or cancel appointments at our discretion.

We recommend you bring or email a summary copy of your medical history and current medications at first booking so we can upload these onto your records ready for consultation.

2.2 Types of Consultations

Face-to-Face: Conducted at our practice premises.

Remote Consultations: Conducted via secure telephone or video platforms.

2.3 Limitations

Remote consultations may not be suitable for all medical conditions. Ultimate responsibility for booking a remote consultation lies with the patient.

We cannot provide remote consultations to Under 16s. Further advice regarding suitability for remote consultations can be found on our website.

In some cases, a face-to-face consultation may be necessary. Any face to face consultations booked at AVIA clinic following a remote consultation are additional to the cost of the remote consultation.

We reserve the right to recommend an in-person appointment if clinically appropriate either with ourselves or your own NHS GP practice.

3. Patient Responsibilities

Provide honest and accurate medical history and information.

Follow the treatment and advice provided by your GP.

Inform us promptly if you need to cancel or reschedule your appointment. Please see fees and payments for our cancellation policy.

Arrive on time for face-to-face appointments and ensure a private, quiet environment for remote consultations.

4. Fees, Cancellations & Late Arrival

Fees for consultations and other services will be clearly stated at the time of booking or during a consultation.

Payment for consultations is required pre consultation in full. Payments for any tests or follow ups required may be paid post consultation.

We accept all credit and debit cards listed on our booking system. Payments can be made online, over the phone or in person. Cash is also accepted on site.

If your appointment is cancelled by ourselves, due to unforeseen circumstances, we will offer a refund in full or an alternative appointment. Refunds will be made to the card used for the booking or cash.

When you book your appointment, you are holding a space on our calendar that is no longer available to our other patients. We require 24 hours notice to change the date/time of any advance bookings/pre booked follow up appointments.

Any appointments that need cancelling or changing less with less than 24 hours notice are non refundable and you will be required to pay the full amount for a new appointment if desired.

If you are more than 15 minutes late for your appointment, we may not be able to accommodate you, especially if you have not informed us. In this case, we may need to reschedule your appointment. We will do our best to reschedule your appointment for another day/time that is convenient to you. Late arrival, requiring rebooking, will be subject to a new consultation fee.

5. Prescriptions

Prescriptions are issued either as private paper scripts or electronically via a code that you can redeem from a chemist.
We are not responsible for the cost of a private medication, this lies with the chemist.
Our Service is not a prescription fulfilment service. Only after a consultation booked in accordance with the terms and conditions will a medication be prescribed by mutual agreement being reached between you and the Doctor under circumstances that are appropriate, legal and responsible. The final issuing of a prescription is at the sole discretion of the Doctor
You understand, accept and agree that any prescription given to you is solely for personal use. If you lose a prescription, a copy may be reissued by the Doctor and may be subject to an additional cost.
You accept that the Doctor has the right to refuse to issue a copy of the prescription should it be deemed inappropriate. You must keep any medicines securely and do not allow others (especially children) to use them.

6. Confidentiality and Data Protection

All personal and medical information you provide is treated confidentially and in accordance with applicable data protection laws (e.g., GDPR).

Details of consultations will be recorded in your medical records.

Any information sharing between ourselves, your NHS GP or specialists will only done with your written consent.

Information will only be shared with third parties with your explicit consent or as required by law.

7. Remote Consultation Specifics

You acknowledge that remote consultations have inherent limitations, including possible technical issues.

We use secure, encrypted platforms to protect your privacy.

You are responsible for ensuring your technology (device, internet connection) is suitable for the consultation.

In case of technical failure, alternative arrangements will be made where possible. This may carry a charge for a new consultation if the technical issue is due to your connection failure.

8. Complaints

We aim to provide the highest quality care.

If you have a complaint, please refer to our full complaints procedure on our website. Complaints will be handled sensitively and taken seriously.

9. Changes to Terms and Conditions

We reserve the right to update these Terms and Conditions at any time.

Changes will be notified via website.

Continued use of our services after changes indicates acceptance of the updated terms.

10. Tests & Referrals

If clinical tests are required these will be discussed at length at the time of appointment including the costs.
Blood tests will be taken during an in person consultation.
If tests are required following a remote consultation and you are able to travel to our clinic, we won’t charge an additional appointment fee.
We are not responsible for any technical issues with our partner laboratory. However we will repeat tests, free of charge, if lab error occurs.
We are only able to refer for private investigations such as scans or consultant reviews. If you are unable to pay or use insurance we will suggest you see your NHS GP.
We are not responsible for any complaints that arise following care from another provider we have referred you too. However we will listen to any concerns and stop referring to those providers if appropriate.
It is strongly recommended to follow up all investigations and referrals as a follow up appointment.
Often private specialists will only communicate with your NHS GP. We therefore advise you to contact us after your specialist review to follow up with us.

11. Governing Law

These Terms and Conditions are governed by English law and you can bring legal proceedings in respect of our Services in the English courts.

If you live in Scotland, you can bring legal proceedings in respect of the products in either the Scottish or the English courts.

If you live in Northern Ireland, you can bring legal proceedings in respect of the products in either the Northern Irish or the English courts.

Dr Viraj Popat

Dr Popat graduated from the University of Birmingham and has broad experience across multiple specialties, with a special interest in dermatology and minor surgery. He has completed advanced training in dermoscopy, aesthetics, and trichoscopy, and has contributed to dermatology research and education.

Alongside his clinical work, he has developed an interest in healthcare innovation, completing a diploma in health tech. Dr Popat is also the Communications Lead for the RCGP Junior International Committee. Outside of work, he enjoys running marathons, playing football, and performing stand-up comedy.

Dr Singhal qualified in India in 2003. She is highly skilled in the management of all womens health including menopause treatments having trained in obstetrics and gynaecology and obtaining her MRCOG before completing her GP training in Leicester. She is also a dedicated GP trainer. She enjoys reading and walking in her spare time as well as spending quality time with her two daughters.

Dr Wilson graduated from Sheffield University in 2013 and completed her GP training in Coventry in 2018. She has specialist interests in both joint conditions and palliative care. She also is passionate about medical education and is a NHS GP trainer. Outside of work she has a young family and tries to fit in baking and reading when time permits with the little ones!

Dr Khosla graduated from Kings College in 2013, Dr Khosla undertook his GP training in Surrey. He has worked in both the NHS and private sectors where he has held several leadership roles. These included being clinical lead for frailty medicine in his local NHS ICB as well as clinical lead for a private practice. As Medical Director, Dr Khosla will combine his skills seeing patients as well as driving the practice forward to ensure we are continuously offering the best. Dr Khosla has a passion for medical education and has achieved a masters in medical law and ethics. He spends his spare time with his young family exploring Warwickshire, as well being a passionate supporter of Chelsea FC and the Mclaren F1 team.

Dr Jaspal qualified at the University of Dundee in 1993. As practice CEO he in charge of operative excellence and practice management and is passionate about providing the very best private care to our patients at AVIA clinic. It was Dr Jaspal’s vision to create a private practice that combined outstanding medical care with the best clinicians on offer with an affordable price compared to other providers. In his spare time he enjoys golf and spending time with his loved ones.
